- With the COVID-19 pandemic restricting in-person gatherings, Simon Fraser University made the decision to hold virtual convocations. To support the online events, “convocation celebration” keepsake boxes would be provided to coincide with multiple virtual events. Each box contained credential parchments enclosed in an SFU credential cover, personalized congratulatory letters, program books, a mortarboard and tassel, alumni pins, promotional inserts and various fun branded gifts provided by individual departments and faculties to their graduands. It was a complex initiative under pandemic safety protocols and involved multiple SFU stakeholders, but ultimately coordinated through Document Solutions for logistics, planning, sourcing of boxes/gifts, variable printing of materials, component assembly from multiple pick-lists, scheduling, and working with multiple shipping windows worldwide. During the 3 events over the one-year project period ending July 2021, 12,900 kits were processed and shipped without major incident. The results were well-received and appreciated by recipients to have something memorable celebrating their achievements and to share with family and friends.
